Here’s a story that plays out every week in the trades. A hauler in Ohio spends Sunday night answering quote requests from his phone. He writes up four estimates, attaches them as PDFs, and sends them from a free webmail address he’s had since 2011. Two of the recipients never see the emails, because they’re sitting quietly in spam folders. One goes to a customer who assumes an unsolicited attachment from a stranger’s personal account is a phishing attempt and deletes it. The fourth opens it, likes the price, and books with the competitor who replied within the hour from bids@a-ohauling.com.

Same truck. Same equipment. Same price. The difference is that one of those businesses looks professional the moment the email arrives, and the other has to explain itself.

If you run a hauling outfit, a contracting business or a dealership, your quotes are your storefront. Here’s why they keep getting filtered, and what genuinely fixes it.

## **The thirty-second explanation of spam filtering**

Mail providers score every incoming message across dozens of signals: who sent it, whether the sender is verified, how the recipient has dealt with that sender before, what’s in the message, and how other users have treated similar mail.

No single signal condemns you. Spam filtering is an accumulation of suspicion, and a lot of small businesses unknowingly stack several bad signals at once.

## **What a free email address signals**

There’s nothing technically wrong with sending business mail from a free consumer account. The authentication is handled fine. The problem is what the address communicates, to both filters and customers.

To a spam filter, a consumer mailbox sending PDF attachments with dollar amounts to strangers looks, structurally, like the average phishing attempt. Fraudsters routinely use lookalike free addresses to impersonate businesses, so providers have learned to be cautious about exactly this pattern: a personal mailbox, an attachment, urgency, a price. Your honest quote and a scammer’s fake invoice travel down the same road, and the filter can’t read your intentions, only the shape of the message.

To a customer, an address like bigtextrucking82 at a free provider says part-timer. It might be unfair, since plenty of excellent operators run six-figure businesses from a phone and a free mailbox, but first impressions happen in the inbox, before anyone hears your voice. When a homeowner is comparing three quotes, the one that arrives from a proper business domain carries quiet weight, the same way a letterhead always did.

## **Once you have your own domain, the rules change**

Moving to your own domain is the single highest-impact fix, but it comes with homework. When mail comes from yourdomain.com, you inherit responsibility for the technical records that prove your mail is really yours: SPF, DKIM and DMARC.

You don’t need to memorise the acronyms, but you do need to know they exist. In plain terms, they work like a posted letter. SPF is the return address saying which servers are allowed to send as you. DKIM is the tamper-proof signature proving the letter wasn’t altered on the way. DMARC tells receiving servers what to do if either check fails, and lets you find out when someone tries to spoof you. Set all three up correctly and your mail carries proof of origin. Skip them and your shiny new domain can actually perform worse than the old free address, because unverified mail from an unknown domain is exactly what filters were built to catch.

The practical walkthrough matters more than the theory. A good guide to setting up a [custom email domain](<https://proton.me/business/mail/custom-email-domain>) covers the whole process, from choosing the domain to configuring the records, without assuming you have an IT person on retainer. The [DMARC.org](<https://dmarc.org/>) project publishes the standards behind it if you want the deeper mechanics.

## **The stuff inside your quotes that trips filters**

Even with the right domain, quotes attract filters more than ordinary email does. A few habits help.

Watch the mega-image. A quote that’s one giant screenshot of a spreadsheet looks, to a filter, identical to an image-based scam, because spammers use images precisely to dodge text scanning. Send real text with a clean PDF attached.

Be careful with shortened links. Link shorteners are heavily abused. If your quote links to a booking page, use the full, real URL.

Don’t blast your customer list from a personal mailbox. BCC’ing sixty past customers at once is a classic spam trigger and a classic way to leak everyone’s address when you get it wrong. Volume like that belongs in a proper mailing setup, sent gradually.

Don’t recycle old threads. Replying to a six-month-old conversation with a fresh quote looks odd to filters and confusing to customers. Start clean.

## **Reputation is a bank account**

Every domain earns a sending reputation, and like credit, it’s slow to build and fast to lose. A new domain starts with no history, which means the first weeks matter. Send steadily to people who actually asked to hear from you, keep bounces cleaned off your list, and don’t suddenly fire off ten times your usual volume. If you want to see how Gmail actually judges your mail, [Google’s Postmaster Tools](<https://postmaster.google.com/>) shows the reputation data it uses, and its published [sender guidelines](<https://support.google.com/mail/answer/81126>) spell out what it now expects from anyone sending in volume.

## **What changes once it is done**

Operators who move their quotes onto a properly set up business domain tend to notice the same three things: fewer messages vanishing into spam, faster replies because customers respond to email that looks legitimate, and less friction when asking for deposits and payment, because invoices from a verified business domain simply get taken more seriously.

Your truck gets an oil change every season whether or not it’s visibly broken. Your email setup deserves the same occasional maintenance, and unlike the truck, the first inspection is free. Check where your quotes are landing, fix the records, and let the inbox do some of the selling for you.
